/support/customer-support-and-project-follow-up/ — verify route register | |
Unique owned decision | How to contact support, follow an existing enquiry, escalate a concern and understand the next verified step |
Mandatory asset | Working contact and follow up pathway |
Audience | Equipment owners, plant teams, rental customers, procurement contacts, project stakeholders |
Source boundary | Controlled R01 map; illustrative cases only; no independently verified contact details or service promises |
1. Direct customer answer
For a new support need, choose the relevant request type and provide enough equipment, project and site context for the correct team to review it. For an existing enquiry, use the reference issued at acknowledgement and describe what changed or remains unresolved. A receipt acknowledgement confirms that information was received; it does not confirm that a technician has been dispatched, a quotation approved, a part found compatible or a project completed. If an unsafe equipment condition is suspected, stop the affected activity under the site’s approved procedures and contact the responsible site safety personnel or appropriate emergency services. This webpage is not an emergency-response guarantee.
2. Distinct page ownership
3. Visitor journey and action hierarchy
Visitor situation | Primary action | Truthful outcome |
|---|---|---|
New enquiry; topic known | Technical intake submitted if confirmed by server | |
New enquiry; topic unclear | Use general support form with short description | Routing triage required |
Existing enquiry or project | Enter reference and an authorised contact identifier | Update attached to verified case or reviewed manually |
Provide missing documents | Attachment received or explicit upload failure | |
Correct a prior submission | Request amendment; retain revision history | Case owner reviews correction |
Report unresolved issue | Escalation request with facts and previous contact record | Escalation accepted for review, not guaranteed resolution |
Ask about project status | Request status update without exposing other clients’ records | Authenticated status or secure human follow-up |
Report a website error | Technical website feedback route | Content or developer ticket, not service case |
4. Mandatory asset — working contact and follow-up pathway
The functional asset consists of a public entry screen, an accessible request-type selector, a controlled case-update form, an attachment guidance link, server-side validation, case creation or update, routing, receipt confirmation, secure staff dashboard, escalation rules, failure handling and an audit trail. A static mock-up or mailto-only button is insufficient for the “working” release gate. The deployment team must verify which channels are actually monitored before displaying them.
5. New-support intake: field-level contract
Field | Validation and display rule |
|---|---|
request_type | Required: service, rental, equipment, parts, audit, borewell, project update, other; link to specialist form where appropriate |
contact_name | Required only where operationally necessary; support reasonable character lengths and Unicode |
organisation | Optional unless needed for account or project matching |
reply_channel | Customer chooses approved email/telephone method; verify contact format and consent |
email_or_phone | At least one usable reply method; validate server-side; do not display in public URLs |
site_location | City/area and site details only when necessary; precise address optional at first contact |
equipment_identity | Make, model, serial or unknown; never require a serial for all requests |
project_or_case_reference | Optional for new cases, required for existing-case matching when available |
problem_summary | Required plain-language description with accessible character guidance |
severity_description | User-described effect on operations; do not automatically promise emergency dispatch |
requested_next_step | Information, inspection discussion, quotation, update, correction, escalation |
supporting_files | Optional; show accepted formats/size only after hosting limits and security checks are confirmed |
privacy_notice | Visible current notice and purpose-specific consent where legally required |
submission_id | Server-generated opaque ID; never encode private data in identifier |
6. Existing-case update: identity and access boundaries
A reference number alone is not proof of authorisation. Before displaying case details or accepting a consequential change, verify the requester through an approved channel, authenticated account or secure one-time challenge as appropriate to the risk. Avoid exposing whether an unrelated customer case exists. For anonymous visitors, accept a private request for follow-up without revealing sensitive details. Do not expose customer names, site drawings, pricing, equipment serials or internal notes in query strings, analytics events or public schema.
7. Routing and ownership matrix
Request type | Routing owner (role placeholder) | Review evidence |
|---|---|---|
Equipment selection | Sales / application engineering, subject to actual team confirmation | Duty sheet and scope assumptions |
Temporary air rental | Rental coordination, subject to actual coverage | Hire period, site access, utility and tie-in details |
Service or breakdown | Service triage / authorised technician | Symptoms, safe state, equipment identification |
Spare parts | Parts compatibility reviewer | Nameplate and part markings |
Audit / consultation | Engineering review owner | Measurement objective and available data |
Borewell air duty | Borewell application reviewer | Rig, hammer, bit, depth, pressure and flow assumptions |
Billing or commercial concern | Authorised commercial contact | Reference, issue, prior correspondence |
Unresolved or disputed outcome | Escalation owner independent of original handler where feasible | Case history and requested remedy |
All owner labels above are implementation roles, not verified employees or evidence that a particular department is staffed. The business must supply and approve its actual routing roster, fallback contacts, working hours and permitted geography before publication.
8. Status vocabulary and user-facing language
State | Meaning | Allowed message |
|---|---|---|
Received | Server stored a valid request | “Your request has been received. Reference: [ID].” |
Needs information | Reviewer identified a missing input | “Please provide [specific item] through the secure update route.” |
Under review | Assigned reviewer has started assessment | “The information is being reviewed; no outcome is confirmed.” |
Awaiting customer | Next step depends on customer evidence/decision | “We are waiting for [item or approval].” |
Proposed action | A suggested next step exists, subject to agreement | “Proposed: [action]; scope and schedule not yet confirmed.” |
Scheduled | A specific action was mutually confirmed | Show only verified schedule and scope |
Closed | Documented disposition communicated | Explain what was closed and how to reopen |
Reopened | New information or unresolved concern requires review | Preserve earlier closure and reason for reopening |
9. Acknowledgement versus operational commitment
Show acknowledgement only after durable server receipt. Never generate “technician assigned”, “stock available”, “within two hours”, “quotation tomorrow” or similar promises from a form submission. If the company later approves response targets, display their applicability, operating days, exceptions, geography, contact channels and owner; maintain evidence for monitoring. A failure to send email must not silently erase a saved case.
10. Escalation architecture
Escalation is an accessible review path, not a decorative complaint button. Capture existing reference, what was promised or expected, what actually happened, operational consequence, dates, supporting documents and the outcome requested. Flag urgent safety concerns for the site’s own emergency procedures rather than relying on website monitoring. An escalation should receive a distinct audit event, designated reviewer, conflict-of-interest check where relevant, status updates and a reasoned disposition. The customer should not have to resubmit all previously accepted data.
11. Project follow-up milestones
For installations, repairs, rental assignments and technical studies, milestones may include scope clarification, information requested, proposal issued, customer approval, mobilisation planning, execution, testing, handover and after-service follow-up. These are possible workflow stages, not assertions that a given service has been sold or performed. Only display milestones actually recorded for that case. Clearly distinguish “planned”, “in progress”, “awaiting approval”, “completed” and “verified/accepted”; require supporting sign-off before claiming acceptance.
12. Follow-up record and audit trail
Record | Purpose |
|---|---|
case_id + related_case_ids | Link original enquiry, amendments and escalations without overwriting history |
event_timestamp + timezone | Trace when event occurred and when it was recorded |
event_actor_role | Customer, reviewer, automated validation, supervisor |
old_state + new_state | State transition with reason and authorisation |
communication_channel | Approved email, phone or portal; actual channel verified |
requested_action + due_date | Only agreed deadlines; separate proposed from committed |
evidence_links | Access-controlled document IDs; no public file URLs |
customer_visible_summary | Sanitised update, free from confidential internal notes |
open_items + disposition | Explicit outstanding evidence and resolution outcome |
consent_and_retention_version | Privacy terms applicable to that record |
13. Attachments and evidence handling
Accept only necessary file types, apply MIME and signature checks, malware scanning, access controls, file-size limits and retention policy. Strip unnecessary location metadata from images where feasible. Never instruct a customer to open a live electrical panel, bypass an interlock, depressurise a vessel or approach moving equipment solely to obtain a photograph. Reject files with a clear, recoverable message; preserve the typed form if upload fails.
14. Worked case A — Service request with incomplete equipment ID
Illustrative scenario: a plant operator reports that a compressor repeatedly trips under production demand but cannot read the serial number safely. The form accepts model “unknown”, requests symptom timing and available controller alarms, and directs the user not to expose themselves to a hazard. A case is created as “Needs information” or “Under review” based on triage. The reviewer asks for a safe photograph at the next permitted shutdown. No diagnosis or dispatch commitment is inferred from the description.
15. Worked case B — Rental continuity and project changes
Illustrative scenario: a temporary-air customer submits a rental enquiry, then changes the expected duty period and tie-in location. The follow-up uses the existing reference, captures the new dates and revised manifold sketch, and records “scope change pending technical/commercial review”. The system does not silently alter an approved quote or assert that additional rental equipment is available. A new revision is visible to authorised reviewers.
16. Worked case C — Spare part mismatch
Illustrative scenario: a customer receives a proposed replacement-part reference but notices that the old part has different connector geometry. The site is not instructed to install the part until the responsible reviewer confirms applicability. The resolution records approved identity, remaining uncertainty and customer notification.
17. Worked case D — Audit report clarification
Illustrative scenario: a plant engineer requests clarification of a pressure-drop observation after an audit. The form captures the report reference, operating state, time of measurement and question. The case routes to the audit owner with the relevant measurement boundary; it does not reinterpret the result as a guaranteed energy saving. The reply may request additional demand and pressure logs before an engineering conclusion.
18. Worked case E — Unresolved project follow-up
Illustrative scenario: a customer believes an agreed handover document was not provided. The pathway requests the project reference, document description and prior correspondence, then opens an escalation with an independent review role where feasible. The reviewer checks the approved deliverable register and records whether the document was issued, pending, excluded or disputed. Closure requires a reasoned customer-facing disposition; an automated acknowledgement alone is not closure.
19. Worked case F — Privacy and wrong-recipient protection
Illustrative scenario: someone enters a valid-looking reference belonging to another organisation. The public interface must neither confirm the case’s existence nor show status details. It should respond neutrally and initiate authorised verification. All subsequent messages use the verified contact destination; a changed email address requires additional verification. The event is logged without disclosing sensitive case data.
20. Mobile and accessibility requirements
Use a single clear H1, descriptive labels, visible required-field markers, meaningful helper text and error summaries linked to invalid inputs. Preserve keyboard focus when revealing conditional fields. Support screen readers with live status announcements that do not repeat sensitive details. At narrow widths, present status timelines as linear ordered steps; avoid horizontal scrolling and hover-only interactions. Support 200% zoom, readable touch targets, adequate contrast and plain-language error recovery. Verify with keyboard, mobile screen reader and desktop assistive technology in the actual theme.
21. Failure recovery and operational resilience
Failure | Required behaviour |
|---|---|
Client validation fails | Preserve inputs; identify each correction; do not submit |
Server validation fails | Return safe field errors; reject unsafe values; preserve permitted inputs |
Attachment rejected | Explain reason and safe alternative; retain text fields |
Case storage fails | No success claim; show retry guidance and verified alternative channel |
Notification delivery fails | If case saved, show receipt ID and queue alert for staff recovery |
Routing owner unavailable | Queue to approved fallback role; never claim assignment |
Duplicate submission | Idempotency key prevents duplicate cases; show original receipt |
Network interrupted | No uncertain success claim; allow reference-based status check |
Unauthorized case lookup | Neutral message, rate limit, log attempted access |
Privacy deletion request | Route to authorised privacy process; preserve only legally necessary records |
22. Consent, data minimisation and retention
Collect only what is necessary to respond and manage the support case. Explain purpose, recipients, whether optional attachments may contain confidential technical information, and how to request correction or deletion where applicable. Do not pre-check marketing consent or condition operational support on unrelated promotions. The company must approve retention periods and applicable privacy obligations for its deployment jurisdiction; no universal number of days is asserted. Separate service records from analytics and restrict staff access by role. Maintain auditable deletion, redaction and lawful retention exceptions.
23. Security implementation requirements
Enforce HTTPS, CSRF protection, server-side validation, rate limiting, spam mitigation with an accessible alternative, safe file handling, least-privilege access, secure case identifiers and log redaction. Do not reveal internal case counts or user existence through response timing or error text. Validate webhooks and mail transport configuration; use retries and dead-letter monitoring for routing failures. Test access-control boundaries for customers, sales, service, rental, engineering, content administrators and developers. Use staging-only dummy records in automated tests.
24. Public contact-channel verification register
Channel | Evidence required before publication | Fallback |
|---|---|---|
Phone | Owner-approved number, operating scope, monitoring arrangement | Verified alternative or remove |
Owner-approved address, successful inbound/outbound delivery tests | Case form or alternate verified channel | |
WhatsApp or messaging | Approved business account, privacy terms, staffed monitoring | Verified web form |
Office address | Owner-approved public address and accessibility of location information | General contact route |
Online support form | Successful staging submission, storage, routing and receipt | Approved phone/email only if verified |
Emergency contact | Formal documented coverage and escalation procedure | Do not advertise emergency guarantee without evidence |
No actual number, email address, named staff member, opening hour or service-level agreement is inserted in this draft. The implementation team must complete this register with verified operational evidence and owner sign-off.
25. Public page copy and CTA architecture
Suggested hero: “Need help with a compressor, rental assignment, spare part or ongoing project? Choose the right support route and share your reference, equipment details and the next step you need.” Primary CTAs: “Start a support request”, “Follow up on an existing enquiry”, “Submit supporting documents”, and “Raise an unresolved concern”. Each CTA must point to a verified functioning route. Place a concise safety boundary adjacent to the contact controls and explain what happens after submission without asserting response times.
