Borewell project handover and controlled closure

8 min read14 sections

What does controlled closure of a borewell project mean?

Closure does not mean the borewell will never change, or that every future operating condition has been proven. Water levels move with the seasons, nearby abstraction changes, pumps wear and demand grows. A useful closure states plainly what has been done and verified, what limits apply to the current operating duty and what event or date should prompt the next look.

Without that discipline, handover becomes a pile of papers and a verbal “it’s working”. When a problem appears a year later, nobody can tell whether the well, the pump, the original test or the operating schedule has changed. Controlled closure prevents that by making the final state explicit.

Define the scope being closed

Start by listing exactly what the handover covers. A borewell job often involves several parties and stages, and each may close separately.

Scope itemTypical responsible partyClosed when
Drilling to depthDrilling contractorFinal depth, casing and drilling log agreed
DevelopmentDrilling contractor, often with compressor supportWater runs reasonably clear and development record is complete
Yield testTest contractor or consultantTest data, recovery and interpretation reviewed
Pump installationPump supplier or installerPump setting, cable, starter and commissioning readings recorded
Compressor hireCompressor supplierMachine returned with hour meter, service and condition record
Operating instructionOwner with consultantApproved duty, limits and review triggers issued

Anything outside the list stays open. Say so in writing, rather than letting it be assumed closed by silence.

Assemble the current decision set

Collect the final, current version of every decision: the approved pumping rate and hours, the pump setting depth, the level at which the pump must stop, any restriction in force and the date of the next review. Where a decision was revised during the project, include only the current version in the operating pack, with a reference to the earlier versions held in the record.

Check that each decision is consistent with the others. A pump set at a depth that does not suit the approved rate, or a forecast based on a rate that was later reduced, should be caught now, not after the contractor has left site.

Verify the handover pack by identity and content

A file list is not proof of a complete handover. Each document must be the right one and must contain what it claims.

  1. Identity – the borewell location, owner, depth and dates on each document match the actual well.
  2. Version – the document is the final issued version, not a provisional copy.
  3. Content – key fields are filled: depths, levels, rates, durations, instrument details.
  4. Consistency – the same values appear the same way in every document.
  5. Legibility – scans are readable and data files open on an ordinary computer.

Keep original site records and later typed or interpreted material separate. A field sheet is evidence; a tidy summary prepared afterwards is an interpretation of it. Both are useful, but the original must survive unchanged.

What should a borewell handover pack contain?

  • Drilling log: depths, formations, water strikes, casing and screen details, bit sizes
  • Compressor record: make, model, pressure and flow used for each stage, hour meter readings, any trips
  • Development record: method (often air-lift or surging), duration and water condition
  • Yield test data: static level, pumping levels, rates, duration and recovery, with level datum stated
  • Water quality results where tested, with the laboratory report
  • Pump details: make, model, setting depth, cable size, starter and protection settings, commissioning readings
  • Approved operating instruction: rate, hours, stop level and review triggers
  • Open issues list with owners and dates

Close the issue register through evidence

Every issue raised during the job needs a disposition before closure: resolved with evidence, accepted with a stated limitation, or transferred to the owner as an open item. “Resolved” should point to a reading, photograph, test or document. A note saying “fixed” is not enough.

DispositionMeaningWhat the record must show
ResolvedThe issue no longer appliesThe evidence that it was corrected and checked
Accepted with limitationThe issue remains but is tolerableThe limitation and how it affects operation
TransferredThe owner takes it onWho owns it, the next action and when

Check that the owner can actually use it

A handover pack is only useful if the person running the well can follow it. Walk through the operating instruction with the owner or operator. Can they read the water level from the correct datum? Do they know the stop level and what to do if it is reached? Can they find the pump details when they call for service? Do they know who to contact for each part of the system?

Plain language matters. Avoid internal shorthand and abbreviations the owner will not know. Show units on every number.

Compressor hire closure on borewell jobs

When a compressor has been hired for drilling, development or air-lift testing, its closure belongs in the same discipline. Record the hour meter at delivery and at return, the services carried out, any safety shutdowns such as high discharge temperature or low engine oil pressure, fuel arrangement and the condition at return. Link the compressor’s pressure and flow to the stages where it was used. This helps the next project in similar ground choose the right machine straight away.

A typical closure meeting

A short closure meeting on site, or by call with the documents shared, saves weeks of later correspondence. A practical sequence is to confirm the scope list, walk through the operating instruction, review each open issue and its disposition, check the handover pack against the well, and agree who holds which records. Note the decisions and send them to everyone the same day.

It helps to bring the people who will live with the well: the owner or farm manager, the operator, and the person who will call for pump or compressor service. Questions raised in the meeting often reveal gaps that a desk review misses, such as an operator who reads the water level from ground level rather than the casing top, or a starter setting that nobody wrote down.

Keep a change path open after closure

Closure is a snapshot, not a seal. State how a change will be handled: who may revise the operating rate, what evidence is needed and how the revision is recorded. Name the events that should trigger a review, such as a sustained fall in pumping level, a change of pump, a big seasonal shift, a new nearby well or a change in demand. A clear change path stops the operating instruction drifting through undocumented adjustments.

Check claims one final time

Before issue, read every statement in the handover for claims that the evidence does not support. “Sustainable yield”, “permanent capacity” or “guaranteed” should only appear if the evidence and the competent reviewer support them. Prefer precise wording: the well delivered a stated rate for a stated duration under stated conditions. That is honest, useful and defensible.

How Reddy Compressors helps

We supply borewell compressors of all types and makes, new, used and refurbished, with rentals, service and spare parts. As an independent multi-brand specialist, we work with ELGi, Atlas Copco, Ingersoll Rand, KAESER, Chicago Pneumatic, Doosan and other makes. We are not an authorised dealer of any brand. We have tie-ups with all major and reputed brands.

For the compressed-air part of a borewell job, we supply the machine and the records that belong in your handover: the pressure and flow used, hour meter readings, services every 300 running hours on hire and any trips. Our rental fleet covers 50–2,000 cfm and 2–30 bar, including high-pressure diesel units for drilling and development; borewell machines typically deliver 600–1,500 cfm at 200–400 psig (13.8–27.6 bar). We are based at Tarnaka, Secunderabad, with over 20 service engineers and technicians covering Telangana and Andhra Pradesh, and we supply across India.

Frequently asked questions

What documents should I get after a borewell is drilled?

Ask for the drilling log with depths, formations and water strikes, casing and screen details, the development record, yield test data with recovery, any water quality report, pump installation details and an operating instruction stating the approved rate, hours and stop level. Where a compressor was hired, its pressure, flow and hour meter record should also be included.

Does handover mean the borewell yield is guaranteed?

No. Handover records what the well delivered under stated conditions at the time of testing. Groundwater levels change with seasons and nearby abstraction, and pumps wear. A good handover states the current approved duty, its limits and the events that should trigger a review, rather than promising a permanent yield.

Who should keep the original borewell test records?

The owner should keep a complete copy, including original field sheets or their scans, not only a typed summary. The consultant and contractor usually keep their own copies too. Original records matter when a problem appears later, because they show exactly what was measured, from which datum and with which instrument.

What compressor details belong in a borewell handover?

Record the compressor make and model, the pressure and free air delivery used at each stage, hour meter readings at start and finish, services carried out, any safety shutdowns and the condition at return. These details help explain the drilling and development results and make it easier to select the right machine for the next well in similar ground.

When should a borewell operating duty be reviewed after handover?

Review it when the pumping water level falls noticeably at the same rate, when the pump is changed, when demand changes, when a new well is drilled nearby or after a major seasonal shift. A scheduled annual review is also sensible. The operating instruction issued at handover should name these triggers and who is responsible.

Who signs off a borewell handover?

Each party signs off its own scope: the drilling contractor for depth, casing and development, the test contractor or consultant for the yield test and interpretation, the pump installer for commissioning, and the compressor supplier for the hire record. The owner then accepts the complete pack and the operating instruction. Signatures should be dated and tied to the final document versions.
